Tiered Pricing vs. the Surprise Headcount Fee at Photo and Video Production Studios

You book a photo and video production studio for a two-person shoot. The day before, your client asks to bring a stylist and an assistant. Now you're four people, and the question is whether the price you were quoted still holds. At some studios it does. At others, a fee appears that was never on the listing.

Two ways studios price extra people

The first is tiered pricing. The studio publishes a rate for a base group size and a higher rate for each larger bracket, say up to a few people, then a bigger crew. You can read the number for your actual headcount before you pay anything.

The second is the add-on that arrives later: a flat rate on the listing, then a message after you've booked saying extra guests cost more. Sometimes it's a line in the house rules nobody scrolled to. Sometimes it's just an email.

Neither is automatically dishonest. The difference is timing. A tier you can see lets you plan the budget around it. A charge you discover afterward leaves you with two choices, pay it or cut people on the morning of the shoot.

Why this isn't only a studio's call

On Peerspace, the platform we plan to book through, the terms don't allow hosts to invent charges after the fact for breaking rules. That's the whole reason tiered pricing is the clean way to handle headcount: the cost is part of the listing, so it's part of the price you agreed to, not a penalty applied later. If a studio you're comparing relies on after-the-fact fees, ask yourself why the number isn't in the listing.

How to find out before you book

What a good answer sounds like

You want a studio that tells you the rate for your group size, says what the cap is, and doesn't get vague when you press. If the reply is "we'll figure it out on the day," treat that as the answer.

Headcount is also one of the places where cheap studios turn out expensive. A low hourly rate with a surprise per-person fee can cost more than a higher rate that already covers a full crew. Run the math at your real group size, not the minimum on the listing.

Where this leaves Poway Studio

It's one of the items on the checklist in our first post, and it's the one we'd rather settle in writing than leave to chance. When bookings open, group size will be part of the listing itself, so nobody has to ask what a fourth person costs.
